We’re seeking a reliable and detail-oriented Office Assistant to join our team on a part-time basis. This role is critical in supporting day-to-day office operations, maintaining a welcoming environment for visitors, and assisting various departments with clerical tasks.

  • Greet and assist visitors as the first point of contact
  • Process incoming mail and coordinate outgoing package shipping and distribution
  • Prepare and ship swag packages, appreciation gifts, and celebration items for customers and staff
  • Communicate with the landlord, utility providers, fire department, and vendors as needed
  • Coordinate with the external cleaning company and manage recycling efforts
  • Oversee office supplies and inventory; place orders for the Supply Room or as requested by staff
  • Prepare conference rooms and maintain the company calendar, including room bookings
  • Ensure common areas remain organized, clean, and well-stocked
  • Provide clerical support to departments, including data entry, scanning, and filing
  • Manage in-office snack sales
  • Assist with event preparation, execution, and clean-up
  • Support new hire onboarding by assembling welcome materials and setting up desks
  • Run occasional errands and assist with special projects as assigned
  • Support staff with travel arrangements when needed
  • Update Picas Calendar with time-off requests

    • Strong organizational skills with attention to detail
    • Good communication and interpersonal skills
    • Ability to multitask and manage time effectively
    • Prior office or administrative experience is a plus
